Quadrant 2: Not Urgent but Important (SCHEDULE)

Goal: Spend MOST time here!
Quadrant 3: Urgent but Not Important (DELEGATE)
• Interruptions
• Some emails/calls
• Other people's priorities
Action: Delegate or minimize
Goal: Reduce time here!
Quadrant 4: Not Urgent & Not Important (ELIMINATE)
• Time wasters
• Excessive social media
• Mindless TV
• Busy work
Action: Eliminate or limit
Goal: Avoid this quadrant!
💡 Daily Practice:
Every morning, categorize your to-do list into 4 quadrants.
Focus on Q2 (Important but Not Urgent) - this is where growth happens!
Don't just make to-do list. Schedule WHEN you'll do it!
6:00-7:00am: Morning routine (exercise, meditation, breakfast)
7:00-8:00am: Planning & prioritization
8:00-10:00am: Deep work block #1 (most important task)
10:00-10:15am: Break
10:15am-12:00pm: Deep work block #2
12:00-1:00pm: Lunch & walk
1:00-2:00pm: Meetings
2:00-3:30pm: Focused work
3:30-4:00pm: Email & admin
4:00-5:00pm: Collaboration/calls
5:00-6:00pm: Planning tomorrow, wrap up
6:00pm+: Personal time
💡 Time Blocking Tips:
• Block similar tasks together (batch processing)
• Include buffer time (15 mins between blocks)
• Protect deep work blocks (no meetings!)
• Be realistic về time needed
• Review & adjust weekly
Small tasks accumulate. Handle them immediately!
If it takes less than 2 minutes, DO IT NOW!

Start your day with the hardest task!
The Frog: Your biggest, most important, most dreaded task
Why eat it first:
• You have most energy in morning
• No distractions yet
• Builds momentum for day
• Everything else feels easier
• Prevents procrastination
How to identify your frog:
• What task would make biggest impact?
• What am I avoiding most?
• What causes most stress?
• What moves me toward goals?
→ Do THAT first thing in morning!
Work in focused sprints với breaks!
The Cycle:
1. Choose task
2. Set timer 25 minutes
3. Work with FULL focus (no distractions!)
4. When timer rings, take 5-min break
5. After 4 pomodoros, take longer break (15-30 mins)
6. Repeat
Why it works:
• Creates urgency
• Prevents burnout
• Improves focus
• Tracks productivity
• Makes daunting tasks manageable
Variations:
• 52-17 (52 mins work, 17 mins break)
• 90-20 (90 mins work, 20 mins break)

Ask yourself:
• Which tasks create most value?
• What activities move me toward goals?
• If I could only do 3 things today, what would they be?
• What would happen if I stopped doing [task]?
→ Double down on high-impact activities!

1. Review Past Week (15 mins):
• What went well?
• What didn't go well?
• What did I learn?
• What goals did I achieve?
• What goals did I miss? Why?
2. Clear Inbox & Tasks (15 mins):
• Process all emails
• Clear notes/ideas

3. Plan Next Week (20 mins):
• Review goals
• Identify top 3 priorities
